LINE OF BUSINESS:APAC - License Sales Operations REPORTS TO (Job Title Only):Director - Sales Operations LOCATION:GC DIRECT REPORTS TO THIS ROLE:>10 Sales Administrators in GC offices
KEY OBJECTIVE (Outline key/overall objectives of the role) Supervise a team of >10 Sales Administrators to provide support to GC Sales teams by providing administrative assistance in the processing of sales orders.
SPECIFIC RESPONSIBILITIES (Outline specific tasks/responsibilities of the role) To lead a team of >10 Sales Administors and give them directions to: -Input contracts / orders into Oracle systems -Prepare contract packages for signature -Ensure ordering documents signed by partner/customer -Collect Order Pack documents and check/cross-check for completeness, accuracy and compliance with Oracle Business Practices -Scan order documents to Contracts Administration -Prepare reselling authorisation documents requested by Partners -Query data from OM as requested by sales people -Provide weekly Sales Order Tracking report to sales teams -Provision of advice and verification of pricing -Provide Approval System advice/assistance to sales people -Monitor / Manage order processing through to booking completion -Provide training and regular updates to the sales team and partner community on latest Oracle Business Practices -Reinforce the importance of up-to-date information in OSO, through regular communication with the Field Sales Teams -Perform the Credit Check Process as required -Assisting with License Migration Requests -Assisting with License Assignment Requests -Liaise across Contracts, Finance, Sales, Business Practices to finalize orders promptly
RELEVANT EXPERIENCE and TRAINING (Indicate the essential experience, qualifications and attributes required to perform this position effectively) Essential: -Very strong people management skills -Good experience in leading a medium to large team -Ability to work with senior Sals Management and different departments for daily activities and projects -Complex order processing and contracts administration experience -Technical skills (eg Word, Excel, Powerpoint, Email) -Ability to work effectively on priorities under pressure -Excellent written and verbal skills -Rudimentary contracting knowledge -Ability to function in a dynamic, changing environment
Desirable: -Good time management skills and the ability to priorities -Ability to work independently with minimal supervision -The ability to look beyond the detail to the 'Big Picture' -To know what drives and motivates people and how to manage various personalities -Familiar with Oracle systems (Quoting, Order Management, Oracle Sales, etc.) (not essential)
